Assignment Task

1. The responsibilities of the Chairperson and the responsibilities of the Secretary

2. What ‘group dynamics’ means, especially in relation to managing meetings and how the Chair would manage the meeting to ensure good group dynamics 

3. How they should develop the agenda in line with stated meeting purpose. Include:

  • The purpose of the meeting (state what the purpose of your meeting is)
  • The style (formal, informal, semi-formal) – and why that is appropriate
  • If they should consult with other people for agenda items and if so, who, and why those people are appropriate
  • What other information/documentation you should use to create the agenda (egreview) 

4. Explain options for meetings:

  • Research and describe options for meetings including face-to-face and virtual meetings Explain benefits of each. 
  • Explain what option(s) we will be using and why it is appropriate to our purpose 

5. In relation to inviting participants to the meeting, explain what the Secretary needs to do according to organisational policy and procedures.

  • How they should identify who the appropriate people are to attend the meeting
  • Explain the organisational requirements relating to how participants are to be notified, including what document/s are required, how to despatch them and any required timeframe (refer to Standing Orders)

6. Explain arrangements for the meeting and how you have confirmed meeting arrangements such as schedule, venue, equipment, catering and special needs if necessary. Students will provide their own summary of approximate costs. You should not exceed a budget of $150 for up to 10 participants or $200 for up to 15 participants.

7. Meeting Minutes:

  • Explain, in detail, how the Secretary should take notes during the meeting
  • Explain, in detail, what information should be recorded at each section of the Agenda
